Send every website form straight into your CRM
Get website leads into HighLevel or Follow Up Boss within a minute, with the right source and the consent answer attached.
Video walkthrough
- The problem: forms that email you and wait for someone to copy them
- HighLevel: embed the HighLevel form, or track the form you already have
- Follow Up Boss: lead email address vs the events API
- Source names and the consent checkbox, set once and never retyped
- Submit as the test lead and watch it land
What you're building
A website form that creates (or updates) a contact in your CRM automatically, with three things set every time: a lead source you chose, the consent answer for text messages, and the message the lead typed. No inbox in between, no copy and paste.
Why it matters
A form that only emails you depends on someone reading that email. Leads submitted at night or on weekends wait, and some are never entered. When the form writes to the CRM directly, routing, alerts and follow-up in the next chapters can start on their own.
What you need
- Admin access to your website builder (WordPress, Squarespace, Wix or similar)
- HighLevel: access to Sites > Forms and Automation (Workflows). Follow Up Boss: owner or admin access to the Admin menu.
- Your test lead from the system map chapter (name, email alias, your own mobile)
- The exact consent sentence your broker or attorney approved for text messages
Time and cost
- Time
- 45 to 90 minutes
- Cost
- $0 for the native options
HighLevel's Inbound Webhook trigger is described in related HighLevel articles as a premium trigger; premium workflow features can be billed per execution depending on your agency's plan. Confirm in your account before relying on it. Zapier, if used, is a separate paid plan.
Step by step
HighLevel option A: build the form in HighLevel and embed it
Create the form with these fields: First Name, Last Name, Email, Phone, a message box, and a checkbox for text consent. Add a hidden Source field and set it to a name you will recognise in reports, for example
Website - Home value form.Open the form's Integrate tab, choose a layout (Inline sits in the page), and click Copy Embed Code. Paste it in your site in an HTML block (WordPress: Custom HTML block; Squarespace: Code block or Code Injection).
Check: Submitting the live form as your test lead creates the contact in Contacts, and the submission is listed under Sites > Forms > Submissions.
HighLevel option B: keep your existing form and add External Tracking
If you want to keep your current form (Gravity Forms, WPForms, Contact Form 7, or a plain HTML form), copy the External Tracking script and install it before the closing body tag on every page of your site. Do not edit the tracking ID inside the script.
Your form must be a real HTML form on the page (not inside an iframe), with named inputs, and it should include an email field so HighLevel can create or match the contact.
Check: After a test submission, Sites > Forms > Submissions > External Forms lists it, and the contact exists with the page URL in its activity.
HighLevel: start a workflow from the form
Add the trigger Form Submitted and filter it to this form (for External Tracking, filter by external form name or page path). Add one action for now: Add Contact Tag
web-lead. Routing and alerts are added in the routing chapter.Save and set the workflow to Publish. A workflow left in Draft never runs.
Check: The test contact carries the
web-leadtag and the workflow's Execution Logs show the run.Follow Up Boss option A: send form notifications to your lead email address
Every Follow Up Boss user has a lead email address ending in
@followupboss.me, shown on Admin > API. Leads emailed there from a supported provider are parsed and added automatically, and assigned to that user.Set your website form's notification recipient to that address. For a custom form, format the notification so the generic parser can read it (one
Label: valueper line works best; see the template). If your form tool cannot send to an extra address, forward with a mail rule.Check: One test submission appears in People within a few minutes, and Admin > Lead Flow lists its source.
Follow Up Boss option B: post leads to the events API
If your site or a developer can make an HTTP call, use
POST https://api.followupboss.com/v1/events. Follow Up Boss calls this "the only correct option" for sending leads and activity; it de-duplicates people by phone or email, and new leads of type Registration, Seller Inquiry, Property Inquiry or General Inquiry start automations. Do not send new leads to/people: that skips automations and can duplicate contacts.Set
sourceto your website domain withoutwww.. The full request is in the advanced section; Zapier's Follow Up Boss app is the no-code way to make the same call.Check: The API returns 201 for a new person (200 for an existing one). A 204 means the Lead Flow for that source is archived and the lead was ignored: un-archive it on Admin > Lead Flow.
Write the consent answer where everyone can see it
Map the consent checkbox to a contact field named
SMS consent(Yes/No) and keep the date. HighLevel: a custom field on the form. Follow Up Boss: a custom field passed in the event, or the text of the inquiry if you use email parsing.Check: Your test contact shows SMS consent = Yes when ticked; a second test with the box unticked shows No.
What success looks like
- A test submission becomes a CRM contact within 2 minutes, without anyone opening an inbox.
- The contact shows your chosen source name exactly.
- The consent answer is stored on the contact.
- A second submission with the same email updates the same contact instead of creating a new one.
Copyable templates
Replace the brokerage name. Leave the box unticked by default.
[ ] Yes, Coastal Key Realty may text me about my real estate inquiry at the number above, including automated texts. Consent is not a condition of any purchase or service. Message and data rates may apply. Reply STOP to opt out at any time.Use your form tool's merge tags in place of the braces. One label per line.

How to test it
- Open your site in a private browser window.
- Submit as Jordan Testlead with consent ticked. Start a timer.
- Find the contact in the CRM. Note the minutes taken, the source and the consent value.
- Submit again with the same email and consent unticked. Confirm it updated the same contact and consent now reads No.
- Tag the contact
test-leadso it is excluded from reports.
Troubleshooting
HighLevel: the submission shows in Submissions but no contact was created.
The form lacks an email or phone field, or they are not mapped to the standard contact fields. Edit the form and use the standard Email and Phone elements.
HighLevel External Tracking sees nothing.
Your form is inside an iframe or a popup widget that does not render a real form element. External Tracking only reads forms in the page itself; use option A for that form.
Follow Up Boss: the email arrived but no lead was created.
Your form's email format is not readable by the generic parser. Reformat it with the template above, or send the lead through Zapier or the events API instead.
Follow Up Boss API returns 204.
The Lead Flow for that source is archived, so the lead was ignored. Open Admin > Lead Flow, find the source, and un-archive it.
Duplicate contacts after the second test.
The second submission used a different email or phone format. Keep the test lead's details identical and check your CRM's duplicate settings.

Technical detailsFollow Up Boss events API request
Authentication is HTTP Basic with the user's API key (Admin > API) as the username and a blank password. Every request also carries X-System and X-System-Key headers from registering your system with Follow Up Boss. The key has the same access as the user who owns it, and it is shown only once at creation.

Technical detailsHighLevel Inbound Webhook trigger
For forms or tools that can only send a webhook, create a workflow with the Inbound Webhook trigger. HighLevel generates a unique URL per trigger and accepts POST, GET or PUT. Send one sample request first so the trigger can read the payload, then map the incoming keys to contact fields in the workflow (a Create/Update Contact step) before any other action.

}Treat the webhook URL like a password: anyone who has it can create contacts in your account. Rotate it (recreate the trigger) if it leaks.
