Video walkthrough

Coming soonOwn your Meta assets before you run a single ad
It will cover
  1. Why the business portfolio must belong to you, not an agency or an assistant
  2. Creating the portfolio and adding your Page and ad account
  3. Giving teammates only the access they need
  4. Pixel, dataset and domain verification in plain English
  5. Leads access: the setting that silently blocks CRM delivery
This chapter is complete without it. Every step is written out on this page.

What you're building

A Meta business portfolio owned by you that contains your Facebook Page, an ad account, a Meta Pixel (dataset), your verified website domain, and the people who help you, each with the least access their job needs.

Why it matters

Meta's help center says business assets can belong to only one business portfolio. If an agency or former assistant owns the portfolio, they own your ad history, your Pixel data and your lead forms. Building it under your control first means every lead form, campaign and audience you create stays yours.

What you need

  • Your personal Facebook profile (the login Meta uses for business tools), with two-factor authentication turned on
  • Your business Facebook Page, with you as a full-control admin
  • Your website and the ability to edit its HTML head, upload a file to its root, or edit DNS records
  • A business email address you check

Time and cost

Time
45 to 90 minutes
Cost
$0

Creating a portfolio, ad account and Pixel is free. Domain verification may need your web host or developer. Adding a payment method does not charge you until ads run, and this chapter does not ask you to add one.

Step by step

  1. Create the business portfolio

    1. Go to business.facebook.com and log in.
    2. Click the dropdown menu below Home in the top left, then Create a business portfolio.
    3. Enter a name that matches your public business name (no special characters), for example "Dana Reyes Real Estate".
    4. Enter your first and last name and your business email, then click Create. Confirm the email Meta sends.

Check: The portfolio name appears in the dropdown under Home, and the confirmation email is verified.

  2. Add your Facebook Page and create an ad account

In the portfolio's Settings, add your existing Facebook Page (and Instagram account if you have one), then add an ad account. If you already have an ad account you have used for boosted posts, add that one so its history stays with you.

Exact labels in Settings vary by account; Meta's help center notes that new portfolios and ad accounts may not have every feature at first. Business Support Home shows what you can use.

Check: Settings lists your Page and one ad account under this portfolio.

  3. Add teammates with the least access they need

    1. In Settings, click People, then Invite people.
    2. Enter the teammate's email (it must match their Facebook login email), click Next.
    3. Leave business portfolio permissions at basic access unless they must manage the whole portfolio.
    4. Assign only the assets they work on: for an assistant who builds ads, the ad account; for an ISA who downloads leads, the Page with leads access.
    5. Click Invite. They must accept.

Keep full control of the portfolio to yourself and one trusted backup. Meta's guidance is to assign only the access people need to complete their work.

Check: Each person in People has only the assets they need, and exactly one or two people have full control.

  4. Create a Meta Pixel (dataset) for your website

Instant form campaigns do not require a Pixel. Create one anyway so that a later landing page test, and the Conversions API for CRM, have a home.

    1. Open Meta Events Manager, click Connect data, select Web, click Connect.
    2. Name it "[Your business] Website" and click Create pixel.
    3. Enter your website URL and click Check. If your website platform appears as a partner integration, follow its on-screen steps; otherwise choose Get guidance, which Meta recommends.

Check: Events Manager lists a dataset with your website name and an ID number.

  5. Verify your website domain

    1. Go to Domains in the Brand safety section of Settings and click + Add, then Create a domain.
    2. Enter the root domain only: danareyesrealty.com, not www. or https://.
    3. Choose one method: paste the meta-tag into your home page <head>, upload the HTML file to your site's root, or add the DNS TXT record at your registrar.
    4. Click Verify domain.

You need full control of the portfolio and admin or developer access to the domain. After verification you may remove the tag, file or TXT record without losing verified status.

Check: Domains shows your domain with a verified status.

  6. Check leads access so your CRM can receive leads

Open Integrations > Leads access. If you see Customize access, leads access is not yet customized and all Page admins can download leads by default. If it is already enabled, any new CRM you connect will not receive leads until someone with full control assigns it access. You will return here in chapter 9 to grant HighLevel or Follow Up Boss access.

Check: You know whether leads access is customized for your Page, and who has it.

What success looks like

  • One portfolio, owned by you, containing your Page and ad account
  • Teammates assigned with least access
  • A Pixel dataset and a verified domain
  • Leads access status known
  • No payment method added unless you chose to add one

How to test it

Ask a teammate to log in and confirm they see only the assets you assigned. Then open Settings yourself and confirm the Page, ad account, dataset and domain all appear under your portfolio name.

Troubleshooting

My Page already belongs to another portfolio (an old agency).

An asset can belong to only one portfolio. Ask the current owner to remove it, or request access from your portfolio. Do not create a new Page to work around it; you would lose your reviews and followers.

I cannot see People in Settings.

Meta says this usually means you do not have full control of the portfolio. Ask whoever does to grant it, or follow Meta's process to request full control.

Domain verification fails.

Confirm you entered the root domain only, that the meta-tag is in the published home page source (not added by JavaScript), or that the TXT record has propagated using a DNS lookup tool, then click Verify again.

Advanced technical details

Optional. You can follow every step above without these.

Technical detailsDatasets, the Pixel and the Conversions API

Meta now calls the container for event data a dataset. A web Pixel, an offline event set and CRM events can share one dataset ID. Meta's CRM integration flow (Events Manager, Connect Data Sources, CRM) lets you create a dedicated CRM dataset or convert an existing web dataset; a dedicated one keeps lead-stage events separate and easier to troubleshoot. You only need this when you send lead stages back to Meta for the qualified leads goal.

Leads access is enforced per Page. When it is customized, CRM apps without the permission get no real-time updates and the Lead Ads Testing Tool shows an error for that CRM, which is the fastest way to diagnose a silent delivery failure.
