Confirm every appointment and recover every no-show
Set up booking confirmations, reminders and a no-show recovery path in HighLevel calendars and Follow Up Boss appointments, so set appointments turn into held ones.
Video walkthrough
- Why an appointment is not won until it is held
- HighLevel: calendar Notifications tab (booked, reminder, follow-up) and the Appointment Status trigger
- Follow Up Boss: Appointment Reminder Texts Power-Up, appointment outcomes, Automations 2.0 appointment trigger
- Marking outcomes honestly: Showed and No-show are data, not judgment
- The no-show sequence: same day, next day, then back to the cadence
What you're building
Three layers: (1) automatic confirmation when an appointment is booked, (2) reminders before it, and (3) a no-show path that reaches out the same day, makes rebooking easy, and puts the lead back on a list if they do not rebook. Plus one habit: marking every appointment's outcome the same day.
Why it matters
Your show rate is the bridge between conversations and clients. Every no-show that is never followed up is a lead you already paid to win, lost in the last step. And without outcomes recorded, you cannot know your show rate, which makes the constraint finder in Part 01 guess.
What you need
- HighLevel: a calendar for consultations (and one for showings if you book those). Or Follow Up Boss: your Google or Microsoft 365 calendar connected, and admin access to Power-Ups and Admin > Appointments.
- Chapter 2 done: reminder texts are texts and follow the same consent and opt-out rules.
Time and cost
- Time
- 40 minutes
- Cost
- Per-message SMS costs for reminders
Step by step
HighLevel: configure the calendar notifications
Each notification type has Email, In-App, SMS and WhatsApp tabs and can be set separately for the Contact, Guests, Users and extra addresses. Configure:
- Appointment Booked (Confirmed Status): SMS and email to the contact with the confirmation template. In-App to the user.
- Reminder: add two timings, 24 hours and 2 hours before. SMS to the contact.
- Reschedule and Cancellation: on, to the contact and the user. Cancellation also fires when an appointment is marked no-show or invalid, so keep its wording neutral (template below).
- Follow-Up: 2 hours after, email to the contact (a short thank-you with next steps).
Check: Book a test appointment for yourself: the confirmation arrives within a minute, and the reminder timings show on the notification.
HighLevel: route outcomes with the Appointment Status trigger
Build one workflow
05 Appointment outcomeswith two triggers, both Appointment Status, filtered by your consultation calendar:- Showed: action Update Opportunity to stage
Appointment Held, then Add Task 'Send recap and next step' due today. - No-show: Wait 10 minutes, Send SMS (no-show same day template), Add Task to the owner 'Call no-show' due in 0 days, Wait 1 day with The contact to reply and a timeout, then on timeout Send SMS (next day template). If still no rebooking after 7 days, Update Opportunity back to
Contactedso the lead returns to your lists.
Statuses available on the trigger: Confirmed, Cancelled, Showed, No-show and Invalid. Someone must mark the status; make it the last step of every appointment.
Check: Mark a test appointment No-show: the text arrives 10 minutes later and a call task appears for the owner.
- Showed: action Update Opportunity to stage
Follow Up Boss: turn on appointment reminder texts
When on, every appointment created in Follow Up Boss (desktop or app) texts the contact from the user's FUB number with the time and location. Timing is fixed: same-day appointments get a text immediately; appointments before 8:30am get a text one hour before; later appointments get a text at 8:30am that day; all-day appointments get one at 12:30pm the day before. Set the appointment's time zone when the client is in another zone.
Because these reminders go out on the day of the appointment, add your own 24-hour confirmation: a task the day before ('Confirm tomorrow's appointment') that you complete by sending the confirmation template personally.
Check: Create a test appointment for tomorrow at 2pm with yourself as the contact: you receive the reminder at 8:30am tomorrow.
Follow Up Boss: define outcomes and automate the no-show path
Account owners add appointment types (Buyer consultation, Listing appointment, Showing) and outcomes at Admin > Appointments. Create outcomes
Held,No Show,Rescheduled,Canceled. Then in Admin > Automations > + Create Automation (Automations 2.0), drag the Appointment trigger and choose Appointment outcome is
No Show. Add Create Task (Call no-show, due today), Time Delay 1 day, Create Task (Text no-show, next day template), and Change Stage toSpoke with Customerafter 7 days if no new appointment. Add a second automation for outcomeHeldthat changes stage toMet with Customer.Check: Set a test appointment's outcome to No Show: a call task appears for the owner.
What success looks like
- Every booked appointment gets a confirmation and at least one reminder.
- Every appointment has an outcome recorded the same day.
- Every no-show gets a same-day text and call task, and returns to your lists if not rebooked within 7 days.

How to test it
- Book a test appointment 3 hours out with your own phone as the contact. Confirm the confirmation and the 2-hour reminder arrive.
- Mark it No-show (HighLevel) or set outcome No Show (Follow Up Boss). Confirm the same-day text or task appears.
- Book a second test and mark it Showed or Held. Confirm the stage moves.
- Open Reporting > Appointments (Follow Up Boss) or your calendar's appointment list and confirm both outcomes are recorded.
Troubleshooting
HighLevel reminder texts did not send.
Check the SMS tab of the Reminder notification is on for the Contact, the contact has no SMS DND, and your number is linked to an approved A2P campaign.
Follow Up Boss appointment missing from the Appointment report.
The report only includes appointments with at least one lead profile invited, within the selected time, user, type and outcome filters. Appointments created in Google or Microsoft need the lead added as an invitee.
The 'Reply C to confirm' reply does nothing.
It is a prompt for a person, not a keyword command. Add a HighLevel Customer Replied trigger with Exact Match Phrase C that marks the appointment confirmed (if your account offers an appointment update action) or creates a task to do it.
No-show texts went to people who did come.
Someone marked the status wrong or late. Mark outcomes at the end of each appointment, not in a batch at night.

Technical detailsEvent timing details
HighLevel appointment and invoice triggers allow re-entry per appointment regardless of the workflow's Allow Re-entry setting, so each new appointment runs its own instance. The Wait action can also wait relative to an upcoming appointment (for example 1 hour before), which lets you build reminders inside a workflow when you need branching the calendar notifications cannot do.
Follow Up Boss Automations 2.0 appointment triggers include Appointment created, Before the appointment time, At appointment time, and Appointment outcome is, with time delays in days, hours or minutes. Automation actions do not include sending texts; use tasks for text touches.
