Video walkthrough

Coming soonThe daily block: what to open, in what order, and when you are done
It will cover
  1. The priority rule: replies and brand-new leads first, nurture last
  2. HighLevel: Contacts > Tasks list view, filters, and stale-opportunity tasks
  3. Follow Up Boss: Today's, Overdue and Future tasks, and why action plan tasks appear at 4am
  4. Clearing the decks: what to do with 40 overdue tasks
  5. Done means lists 1 and 2 at zero and today's tasks closed
This chapter is complete without it. Every step is written out on this page.

What you're building

A fixed daily block (two short ones work better than one long one for most agents), a priority order everyone on the team follows, and the CRM views and automations that feed it. The block ends when lists 1 and 2 are at zero and every task due today is completed or rescheduled with a reason.

Priority order. Earlier rows beat later rows; inside a row, oldest first.

Why it matters

Agents with plenty of leads rarely lose them for lack of effort; they lose them to order. The hour goes to whoever is at the top of an unsorted list, often the least likely person to answer. A fixed order spends your best minutes on the people most likely to talk.

What you need

  • The six Smart Lists from chapter 4 and the cadence from chapter 6.
  • Two blocks on your calendar, for example 9:00 to 9:45am and 4:30 to 5:15pm, marked busy.

Time and cost

20 minutes to set up; 60 to 90 minutes a day to run

Step by step

  1. HighLevel: set up your task view

Open Contacts > Tasks (the Tasks list view). Use Advanced Filters to show tasks assigned to you, due today and overdue, sorted by due date. Workflows can also create tasks with no contact attached; those show as standalone tasks in the same list.

Check: The view shows only your open tasks due today or earlier.

  2. HighLevel: auto-create a task when a lead sits too long in a stage

    1. Trigger: Stale Opportunities. Filters: In Pipeline Buyer & Seller Leads, Duration in Days 3, stage Contacted (add a second trigger for Appointment Held with 5 days).
    2. Action: Add Task. Title Stuck lead: set next step, Assign To the opportunity owner, Due In 0 days.
    3. Name it 04 Stuck lead tasks and Publish.

Check: Within a day, opportunities older than the threshold in those stages each have a task.

  3. Follow Up Boss: use the Tasks page the way it is designed

The Tasks page has Today's Tasks, Overdue Tasks and Future Tasks. Tasks from action plans appear in Today's Tasks around 4am on the day they are due (not in Future) and do not send notifications, so open the Tasks page at the start of each block instead of waiting for a ping.

Create one-off tasks from a lead profile: Tasks on the right, the plus symbol, then Task Name, Task Type, Assignee, Date and Time, Create Task. Only tasks with a date and time send reminders (per Notification Settings).

Check: You can open Tasks and see today's cadence tasks from the action plan.

  4. Clear the backlog once, then never let it rebuild

If you start with dozens of overdue tasks, do not work them one by one. Export or screenshot the list, clear it (Follow Up Boss: Tasks > Overdue Tasks > Clear My Overdue Tasks; HighLevel: select them in the Tasks list and use the bulk actions at the top), then let the Smart Lists bring back the people who still matter. Smart Lists are rebuilt from data every day; old tasks are not.

Check: Overdue tasks: zero. Lists 1 to 6 show the people who need you.

  5. Run the block and log every touch

Work the priority table top to bottom. Every touch gets logged in the CRM (calls through the CRM dialer or the app log automatically) and every conversation ends with a stage update and, if there is a next step, a dated task. That is what removes people from lists and what makes chapter 9's numbers true.

Check: At the end of the block: lists 1 and 2 at zero, no task due today left open without a new date.

What success looks like

  • Two follow-up blocks on the calendar every business day.
  • Lists 1 and 2 at zero by the end of each block.
  • Overdue tasks stay under 10 week over week.

Try it

Minutes matter

Replies and new leads

Inbox first, then list 1. Oldest first. Done when both are at zero.

Protect the calendar

Today's appointments

Confirm every appointment for today and tomorrow before you chase anyone new.

The cadence

Tasks due today

Every call and personal text from chapter 6, then lists 3 and 5.

Housekeeping

Decide and nurture

List 4 gets a decision. List 6 gets a personal check-in on your weekly nurture day.

How to test it

  1. Run one block with a timer. Record how many minutes each priority row took.
  2. At the end, open lists 1 and 2 and the Tasks page. Confirm the end state in the checklist.
  3. After a week, compare overdue task count day 1 vs day 7.

Troubleshooting

I never get to lists 4 to 6.

That is expected some days. Put list 6 on one fixed weekly day and list 4 at the end of the afternoon block. If lists 1 and 2 alone take the whole block every day, you need help (an ISA or assistant) or fewer paid leads.

Follow Up Boss did not notify me about action plan tasks.

By design, tasks created by automations or action plans do not send notifications. Open the Tasks page at the start of each block.

Stale opportunity tasks flood in on day one.

The trigger finds every opportunity already over the threshold. Clean stages first (chapter 1 ten-lead audit), or start with a longer duration and shorten it later.

Advanced technical details

Optional. You can follow every step above without these.

Technical detailsTask data you can report on

HighLevel exposes Task Completed and Task Reminder workflow triggers, so a completed 'Day 10 decide' task can itself move the opportunity or add a tag. Follow Up Boss reports Tasks Completed per agent and per source in the Agent activity and Lead Sources reports, and supports recurring tasks for fixed routines such as the weekly nurture day.
