AI Productivity Framework
A ten-minute daily CRM routine you can run with or without an AI assistant, with you approving anything that goes to a client.
Watch
- The problem: hours at the computer updating the CRM between showings
- The point: an AI CRM Manager keeps track of conversations, notes and next steps, not another dashboard
- The example: say what happened, it drafts the notes and reminders, you approve
- What we would show: the workflow running on safe sample data
The problem
Running between showings and calls, then spending hours updating the CRM, takes time you would rather spend with clients.
An AI CRM Manager is not another dashboard. It is help keeping conversations, notes and next steps organized, with you approving what matters.
What to look at
- Replies waitingPeople who answered you come first. They are the warmest conversations you have.
- Today's confirmationsConfirm today's and tomorrow's appointments. A short confirmation protects the meeting.
- Overdue follow-upsTasks past their due date. Do them or re-date them; never leave them overdue.
- Drafts to approveAnything an assistant prepared for a client waits for your yes or no. Nothing goes out on its own.
- Missing notesOne line per call or meeting with no outcome written down.
Do the exercise
Count what is waiting in each lane and how long each item takes you. The board picks today's ten actions in order.
Ten-minute daily board
Count what is waiting in each lane. The board picks your next 10 actions, most urgent first.

Nothing waiting. Use the ten minutes to review tomorrow's appointments.
The minutes per item are your estimates, not a benchmark. An assistant can prepare drafts and notes; a person approves anything that goes to a client.
How to read your result
- Ten actions in about ten minutes is a habit target, not a measured benchmark. Use your own minutes per item.
- If the backlog grows every day, a longer session is not the fix. Routing, templates and prepared drafts are.
- An AI CRM Manager organizes and drafts. It is a different thing from an AI search tool, and it does not contact anyone in the background without review.
What Anu would build
An AI CRM Manager that reads your CRM, prepares the morning list, drafts notes and follow-ups from what you tell it, and waits for your approval before anything reaches a client.
Shown on safe sample data. No background auto-contact without review.
